Thedocumentprovidesanoverviewofmonitoringandsupportingworkflow.Thisdocumentdiscussesinbrief,differentmethodsofmonitoringworkflow,aswellasSAPtransactionsusedinworkflowmonitoring.

ThisisintendedforpeoplewhoareprovidingworkflowsupporttoABSproject.

2.Monitoring

Monitoringofworkflowshouldbedoneonadaily,weeklyandmonthlybasis.Thefollowingsectiondiscussesthestepsinvolvedineachtimeframe.

Monitoringproactivelyallowstheadministratortoidentifyerrorsintheworkflows.Thisisdonebyrunningspecificreportsthatidentifyperformanceandworkflowerrorsthathaveanimpactonthebusinessprocess.

Inordertologasaworkflowadministratorpleasefollowtheinstructionsinthedocumentprovidedbelow.

Usefultransactionstoassistyouindailyworkflowmonitoring.

Listedbelowareanumberofcommontasksthatyouwillusetohelpyouanalyseanddiagnoseworkflowerrorsandindailymonitoring.

Ihaveattemptedtocatchagenericgroupoftasksthatcanbeusedtoanalysedifferentworkflows.Whenanalysingaworkflow,thefollowingtransactionswillhelpyouanalyseerrorsanddeterminesolutionsforworkflowmonitoring.Thesecanbeusedtoanalyseavarietyofdifferentworkflowsandscenarios.

Usefultransactiontohelpdetermineiftheagentintheworkflowyouareinvestigatinghasthefollowingvalidattributes.

Infotype–0105communication–Intheorganisationalassignmentlookforastartandfinishdate.Thiswillhelpyoudeterminescenarioswherethecorrectagentisintheworkflowbuthe/shemaynotbeactivebecausetheirstartdatemaynotbetillthebeginningofthemonthforexampleinrelationtotheexecutionoftheworkflowyettheworkflowandthepositiontheyholdisactive.

Solution–Speaktotheteamleaderintherelevantfunctionalareatodeterminethenextsteptobetaken.

Infotype-0105communication–Checkthattheuserhasavalidemailaddress.ThisisimportantastheworkflowfindstheagentwhoistheholderofapositionandthendeterminestheagentsemailaddressfromtheirHRmasterdata.

Solution–Ifthereisnoemailaddressintheusers0105infotype,thenaservicecallwillneedtoberaisedandassignedtothehelpdesktoresolve.

Alsocheckthisinfotypeforthepositionandalsotheorgunitthepersonbelongstoo.UsethisinfotypeasacheckforaSAPusername.YouwillcomeacrossscenariosthatausermaybeactivebuthasnousernameinSAP.

Solution–RaiseorpasstheservicecallontothehelpdesksothattheymayprocessaSAPusernamefortheuserinvolved.

Infotype2001Absences–Veryusefulforcheckingtoseeifspecificleaverequestsdateshavebeenposted.ThiswillhelpidentifywhenworkingonleaverequestsiftheyhavepostedcorrectlyintoPA20.

PTARQ-Displayleaverequest

Crucialtransactiontobeusedtodetermineastatusofleaverequest.Thistransactionallowsyoutolookattheworkflowbypersonnelandforeachleaverequestforthatperson.

PO13D–DisplayPosition

Thistransactionisveryusefulfordeterminingpurchasinglimitstoaposition.WhenanalysingaworkflowinthePTParea,therewillbescenarioswherethepurchasinglimitsforaPRforanagenttoapprovemaynotbesufficient.

Alsoveryusefulfordeterminingtherelationshipsforaposition.Thatiswhotheholderisofapositionandandifanyactingrolesareassignedtothisposition.

Astheworkflowispositionalbasedwithapredetermined$$limitanyqueriesinyouranalysingwillthenneedtobediscussedwiththePTPfunctionalteam.

PPOSE–Organisationandstaffingdisplay.

Akeytransactiontousewhenidentifyingagents,theirpositionandtheirrelationshipintheorganisationalstructure.

Thistransactionisusedtoidentifyspecificworkflowsforaspecificworkflowobject.

2.1DailyActivities

Monitoringonadailybasisensuresthatanyworkflowsthathaverunoveraperiodfromthenightbeforehavebeencheckedtoensurethatthebusinessprocesstheyarerelatedtobeworkingastheyshould.

Checkingregularlythroughoutthedayalsoensuresperformanceandworkflowerrorsarekepttoaminimum.

Belowisalistofreportsandtransactionthatshouldberunonaregular/dailybasistomonitorworkflow.

2.1.1SBWP–WorkflowAdministratorInbox

Logonastheworkflowadministrator（userIDWF-ADMIN）andchecktheworkflowinbox.Actionalltasksandnotificationsasrequired.Thismayinvolveinvestigatingtheworkflow.Anexampleoftheprocessingthatmayberequiredforaworkitemwouldbetoforwardittothecorrectagent,modifydatainthecontainer,ortologicallydeleteit.

Executethistransactiontoprocessdialogworkitemsthatdonothaveanagent.Workthoughthelistofworkitemsanddeterminewhoshouldbesenteachitem.Forwardtheitemtotheappropriateperson,orlogicallydeletetheworkitemiftheworkflowisnolongerappropriate,e.g.iftheleavehasbeenapproved.

2.1.3SWPR–WorkflowRestartAfterError

Thisreportisusedtodisplayalistofworkflowerrorsandrestartthem.Youcanrunthisreportoveradaterangeandwillallowyoutoperformamassstartofworkflows.

2.1.4SWI2_DEAD–WorkitemDeadlineMonitoring

Thisreportallowsyoutoidentifytaskswithdeadlines.
