SectionOneBriefIntroduction

Inforeigntrade,enquiriesareusuallymadebybuyerswithoutengagementtogetinformationaboutthegoodstobeordered,suchasprice,catalogue,deliverydateandotherterms.

Enquiriesmaybeeitherdispatchedbymail,cable,telexandfaxorhandedtothesuppliesthroughpersonalcontact.

Whenmakinganenquiry,abuyerusuallybeginswithaquestionorquestionshewantstoask.Thereaderthenknowsatoncewhattheenquiryisabout.

Generallyspeaking,weshouldkeepourenquiryshortandtothepoint;saywhatneedstobesaidandthenstop.Forinstance,ifyouareanenquirer,youshouldstateclearlyinyourenquiriestoforeignsuppliersyourexactrequirements,inclusiveofprices,discounts,termsofpaymentandthelengthoftimerequiredfordelivery.Thereisnoneedforlong,over-politephrasesandstilllessforhumbleness.Nowadays,manyfirmsevenuseaprintedenquiryforminsteadofaletter.

Anenquirymustbeacknowledgedintermsthatestablishgoodwillifanimmediatesaleisnotpossible.Ifitisfromanoldcustomer,sayhowmuchyouappreciateit;ifitisfromanewcustomer,sayyouaregladtoreceiveitanexpressthehopeofkeepingupfriendlybusinessrelationship.

Furthermore,enquiriesshouldbeaddressedtothecompanybecause,inthisway,yourletterwillreceivequickattention.Ifyouaddresstheenquiriestoanindividual,yourlettermayhavetowaitwhileheisaway.Oryoumaymakeamistakeandaddressittothewrongindividual,andthiswillalsomeandelay.

Tosumup,enquiriesshouldbebrief,specific,courteousandreasonable.Inreturn,theanswerstoenquiriesshouldbeprompt,courteousandhelpful.Incasethegoodsenquiredforarecurrentlyoutofstock,thesuppliershouldinformtheenquirerwhentheywillbeavailableand,bytakingthisopportunity,introducesomeotherproductsassubstitutessoastocreateagoodimpression,whichhopefullywillresultinmorebusiness.
