INTRODUCTION

InoursystemwearedevelopinganewReservationSystemthatwouldbemoreeffective,andawellfunctioningsystemtoreplacetheexistingsystemofOceanViewHotels.

TheOceanViewHotelisjustanewHotel,anditdoesn’thaveawellfunctioningReservationSystem,thenewlydesignedreservationsystemistomanagetheReservationsystemfortheOceanViewHotels.

ThemainobjectiveofthenewsystemistogivethecustomersaneasywayofmakingareservationintheHotel.Thenewsystemismorecomputerizedandwellorganized,wellmodifiedfromtheoldsystemthatiscurrentlyintheHotel.

ThissystemwouldbemanagedbytheReservationOfficethatworkswiththeReservationDetails.

ThisnewsystemwouldautomaticallyreplacetheoldandlessfunctioningsystemthatwasformallyusedintheHotel.ThenewsystemwouldalsobefasterforthecustomerstomakeaReservationintheOceanViewHotels.

TheCurrentReservationSystem

TheOldHotelsReservationSystemwasnotaverygoodfunctioningsystemanditwasn’teasyforthecustomerstomakeHotelReservation,TheOldHotelReservationSystemwasdifficultforcustomerstomakeHotelReservation,inthissystemtheCustomerhavetobepresentinpersoninthehoteltomakeReservationshisorherselfandtheinformationisbeenrecordedonapaperfile.

ThesystemReservationworks,whenthecustomercomestotheHotelandgiveshisReservationdetails(DETALSLIKE-NAME,CHECKINDATE,CHECKOUTDATE,TYPEOFROOM,ETC)totheReservationpersonnelorofficerandthenmakeshisorherRoomReservations,andhavetocomebackwhenheorshewantstocheckforaformalcheckin.

ProposedReservationSystem

ThenewproposedreservationsystemwouldbedonetotallyonlinewithoutthecustomergoingtotheHotelinpersontosecureareservation.

Thenewreservationsystemwouldbemoreadvancedandmoreeffectiveinawaythecustomercanmaketheirreservationanywhereintheworldwithacomputerandinternetconnection.

Thisproposedsystemtobedeveloped,thissystemtobedevelopedwaschosenbecauseoftherisingnumberofinternetusers,theworldisgettingglobalised,andeverybodyisgoingonline.Wechoosetousetheonlinereservationsystembecausenowadayspeoplefinditmorecomfortabletouseanonlinesystemformakingahotelreservation

Forthissystemtofunctiontheuserorcustomerhastobeloggedonlinewiththeinternettobeabletomakeareservationwiththissystem.

Whenthereservationismadethesystemwouldautomaticallyprovideapinnumbertoenablethemaccessreservationeasily.

Problemsfacedbythecurrentsystem

Thisisamajorproblemforthehotelbecauseoflackofcustomers,thecurrentsystemismoredifficult,stressful,andtimewastefulforcustomerstosecureareservationinthehotel.

Noteverycustomerwouldwanttoorhavethetimetomakeatriptothehoteljusttomakeareservationespeciallycustomersfromfarplaces.Customersinthehotelwouldbemostlyfromaroundthesamecommunityofthehoteloutsiderwouldn’tbeabletocomeandmakeareservationbeforetime.

Thiswouldcausethehotelalotofmoney,becausetheywouldbehavingfewercustomerscometothehotelandlossofmoneymeanspossibleshutdowninthefuture.

Andsometimescustomerscanalsogettothehotelandfindouttherearenomoreavailableroomsandwouldbeveryangryandwouldn’twanttomakereservationinthishotelanymore.

2.Insecurity

Informationinsecurityisaproblemforthecurrentsystemthemanualsystemisnotasecurewayforinformationkeeping.Thereservationsdetailsmadebycustomersarerecordedandstoredinapaperfile.Thisisaveryunsecuremeansofkeepinginformationlikethis,whennegligencehappensoraccidentslikefiretherewouldbenoinformationleftalltheinformationstoredwouldbelostforeverandalsothisfileorinformationcouldbemisplaced,lostordamaged.Andalsotheinformationcouldbeeasilyaccessedbyanyonebecausetheinformationsecurityprocedureisnotwellsecured.

3.Cancelingreservation

Cancellingofreservationisverycommoninhotel,aftermakingareservationacustomercanchangehisorhermindormakeare-scheduleorcancelhisorherreservation,butthiscanalsobepossiblebutverydifficultforthecustomertocomebackagainorre-schedulehisorherroomreservationorcanceltheirreservation,thisisalsoanotherproblemthatwouldbefacedbythecurrentsystem.

Thecustomerwouldfinditmoreeasyandcomfortabletomakeareservationanywhereandanytimeatanyplace.Thenewsystemdoesn’tneedthepersonalpresenceofthecustomertomakeareservation.Thecustomercouldeasilygoonlineandmakeareservationwiththehotel.

Andifthecustomerisnotwithinthereachofacomputerorinternethecouldalsomakethereservationthroughtheuseofamobilephoneanywhereandanytimesuitableforthecustomerbysimplycallingthereservationdeskandmakehisorherreservationwiththehotel

Thisisaverycomfortablesystemdoesn’tinvolveanytravellingtoandfrofromthehotelandcouldpossibleattractmorepeopletomakereservationinanywhereintheworld,thissystemwouldraisethehotelmorecustomersandmorefinancialprofit.

2.Insecurity

Insecuritywouldbeathingofthepastwiththenewproposedsystem;

thecustomer’sinformationwouldbemoresecureonadatabaseandcouldbeeasilyaccessedbyauthorizedpersonnelwhohavepermissiontoaccessthiskindofdetailslikethereservationofficerandreceptionistandthisdetailscouldnotbeerasedorevenaffectedbyfireornaturaldisastersbecausesinceitsonlineitcouldbeeasilyaccessedonlineanywhereandanytimeandtheinformationcouldbeeasilyretrieved.

Theproposedsystemwouldpreventlossanddamageofinformation

3.Cancellingreservations

Withthenewlyproposedsystemcancellingreservationsorrebooking,makingchangeswouldbeeasierandstressfreewiththenewsystem.

Thecustomerswouldeithercancelorchangetheirreservationdetailsonlinewithoutgoingpersonallytothehoteltomakethesechanges.
